Tenants

Nicholas George Ltd will be there to guide you through the rental process. We will endeavour to secure for you a rental property that matches your requirements and is within your budget. We will arrange viewings and our staff will be there to advise you on all aspects of the rental process. In addition, we can provide you with information about the local area including schools, shops and other facilities. If you have any questions about our services, please let us know. Below are a few details about the way we do things.

References

When you have chosen a suitable property to rent, we will ask you to complete an application form. We will then forward your details to our credit referencing company to provide a credit reference for us. We will also ask you to provide details of your current employer and current/previous landlord, along with proof of British bank account. You will also need to present yourself along with your passport in person.


Guarantor

Under certain circumstances, we may ask you to provide a guarantor. We can ask for this at any point throughout the referencing process and this will incur an additional charge of £50.00 +VAT (£60) per guarantor.


Tenancy Agreement

Before any tenancy begins, we will ask you to sign a tenancy agreement outlining the obligations of both landlord and tenant. Most tenancies are for a minimum period of six or twelve months. After this initial period it may be possible to negotiate a further period of tenancy with the landlord.


Initial monies

In the first instance we will ask you to pay one weeks’ rent to secure the property. At this point the property is removed from our listings. This initial money paid is non-refundable as other potential tenants will be turned away. Before you move in, you will then be asked to pay the remainder of your first months’ rent, plus the full deposit for the property, which is generally 5 weeks rent.


Rent payments

For managed properties Nicholas George Ltd will collect the first month’s rent, full deposit and administration fee before you move in. All future payments must be made in advance to us by standing order. We will provide you with our bank details before you move in. For let only properties Nicholas George Ltd will collect the first month’s rent, full deposit and administration fee. Rent will then be passed over to the landlord. All future rent payments must be paid to the landlord directly. The landlord’s bank details will be provided to you on the day of move in.


Inventory

An inventory of the property contents, furniture, fittings and effects will be prepared prior to you moving in. This will be checked and agreed with you at the commencement of your tenancy.


Inspections

For managed properties we carry out inspections on a regular basis, approximately every 3 or 4 months. The purpose of these visits is to ensure that the property is being maintained in a satisfactory condition and to pick up on any problems that you might not have noticed. You will always be contacted prior to us entering your property. If we do not feel that your property is being maintained in a satisfactory condition, we will give you the opportunity to rectify any problems before re-inspecting at a later date. For let-only properties, the landlord may or may not choose to inspect the property throughout your tenancy. If they do, then they should give you at least 24hrs notice.

Obligations

The responsibility for the property rests with the tenant during the period of tenancy. It is important that the property is always fully secured and that necessary steps are taken during the winter months to prevent freezing of the water and heating system and that the property is adequately ventilated. In Leasehold properties the tenant will be also be bound by the rules and regulations affecting all residents within the block.


Bills

Unless otherwise stated before you move in, it is the tenant’s responsibility to pay the council tax directly to the Local Authority. In the case of students who may be exempt from payment of council tax, it is their responsibility to inform the Local Authority. It is also the tenant’s responsibility to pay the water, gas and electric bills as required. We will take meter readings for these services when you move in, and will write off to the relevant utility companies informing them of the start of your tenancy and the associated meter readings.


Notice

If you wish to end your tenancy you are required to give a minimum of one month’s written notice. If you live in a property managed by us, this notice is given to us, while if you live in a property managed by the landlord you should give your notice to the landlord directly.


Fees Payable

Any rent that is unpaid for more than 14 days may be charged at an interest rate up to 3% above Bank of England base rate.

To secure one of our Lettings properties, you will be asked to pay a non-refundable holding deposit of up to 1 weeks' rent per dwelling.

Before you move into one of our Lettings properties, you will be asked to pay a deposit of up to 5 weeks' rent per dwelling (less any holding deposit already paid).

Company Lets are subject to an administration fee of £240 (including VAT) per dwelling.

If it is agreed that you are able to end your tenancy early, it is likely that you will be required to pay rent up until the point a new tenant moves in. Depending on the circumstances, you may also be asked to pay the Landlord's fee for re-letting the property. This would be a maximum amount of £540 (including vat).

If you lose your keys or do not return the full complement of keys or fobs at the end of your tenancy, you will be charged the full cost of replacing them, as well as an administration fee not more than £20 (including VAT).

If you wish to add or change a tenant within a Lettings property, you will be asked to pay an administration fee of £50 (including VAT) per dwelling.

If your tenancy with us began prior to 1st June 2019, then some fees may still be payable by you (such as renewal fees) until 1st June 2020.
